Terms & Conditions

Please read the following terms & conditions which apply to all events recorded by Digital Memories.

All bookings require a non-refundable deposit of £75.00 included with the return of your completed booking form. The outstanding balance is required at least two weeks prior to the event date. The editing of the DVD of your event will commence immediately and all relevant information for inclusion in the final production must be received preferably beforehand, or at the very latest on the wedding day.

Provisional bookings are only accepted in conjunction with a Consultation being arranged. These are non secure bookings. You are under no obligation at this point, but please be aware that if a secure deposit is paid for the same date by someone else, we have to honour that agreement and you will lose your date with DIGIMEM.

DIGIMEM reserve the right to cancel at any time with total refund on all monies already paid.

We have a range of standard packages at set prices, with optional extras according to your specific requirements. Any other modifications to these services will be quoted separately at the time of your booking. Total time allocation for weddings is dependent upon the package selected. A surcharge will be applied for extra hours, as required, and this will be discussed at the time of quotation.

The total fee includes a master copy of your video on DVD, the number of which is quoted in the package price. Further copies of the DVD are available at an additional charge. It does not include any fees which may be charged in respect of filming at the venue or that are imposed by the church/hotel, etc. Such fees are the responsibility of the Bride & Groom.

Any special permissions must also be handled by the Bride & Groom.

Special Permissions will include – Permission to Film at any of the Venues, Permits for Filming at non event sites (Example Coventry Cathedral Ruins).

Your film WILL require a Copyright License; you will need to obtain this in order to legally record Hymns or any licensed music being played during the service and/or the reception. We can obtain the licenses you require in order to cover the Audio recordings on your behalf; please refer to the booking form for fees or call for clarification. Otherwise you will need to source the licenses yourselves and supply DIGIMEM with the appropriate license at least one week prior to the event. Please note that this license is required in addition to any fees you may have already been charged for by your Church or Hotel Venue.

Whilst Digital Memories will take every care to present you with a perfect recording of your event, in the unfortunate instance of total equipment failure we will provide a full refund of all monies paid. Should there be a problem with regard to quality of the production caused by the equipment we will negotiate a revised fee once the degree of the problem has been established.

It is our best endeavour to capture all the moments that are listed in our Packages. With a one camera shoot it is more difficult as moments can happen simultaneously. A second hand held camera MAY be used during the event but we will include additional material from this device if deemed appropriate.

Digital Memories will not provide compensation for any problems with quality of reproduction due to the location or the environment that is not the fault of the equipment or the videographer. We do not take any responsibility for lighting conditions at any of the venues nor weather conditions.

Please note that due to the long hours of the shoot; refreshments should be provided for the camera crew during the reception/meal. Thank you.

Cancellations are accepted up to:

4 months - Loss of Non Refundable Deposit Only

3 months - 25% Payment / 2 months - 50% Payment / 1 month - Full Payment

All original recordings remain the property of Digital Memories and copies of the final edited version remain copyright. Further copies of each edited version can be obtained for the appropriate cost from Digital Memories.

Please allow 6-10 weeks for the delivery of the final edited DVD.
